Hire Desk Administrator

Pineapple Careers is proud to be supporting a fantastic organisation based near Horsham, who are looking to recruit a Hire Desk Administrator on a full-time, permanent basis. Are you organised and detail-oriented? Do you enjoy working as part of a collaborative team in a fast-paced environment?

Key Responsibilities:

  • Act as a first point of contact for customer enquiries, providing accurate product information, availability and pricing
  • Process hire orders from initial enquiry through to completion
  • Coordinate machine deliveries and collections to meet agreed customer deadlines
  • Maintain up-to-date records of hires, off-hires, extensions and cancellations
  • Liaise with internal departments to ensure the machines are ready for hire
  • Ensure all hire documentation complies with company policies
  • Monitor machine levels and availability to support smooth operational planning
  • Handle customer queries and complaints and escalate where necessary
  • Provide support to the Hire Desk Manager
  • Prioritise and manage multiple tasks while maintaining excellent customer service
  • Take a proactive, problem-solving approach to daily responsibilities
  • Contribute positively to the team environment and wider business goals

Key Skills:

  • Proven experience in a similar role, ideally within the hire or service industry
  • Strong organisational and time management skills
  • Excellent communication and interpersonal skills
  • Comfortable using Microsoft Office and hire/service management systems
  • Ability to remain calm and professional under pressure
  • High attention to detail with a strong sense of ownership
  • A collaborative team player with a desire to learn and grow

Salary & Benefits:

  • £30,000 depending on experience
  • Full-time, permanent position
  • Monday to Friday 8 am – 5 pm
